2. The personal data we collect
Depending on how you interact with us, we may collect the following.
Property owners and prospective clients
- Your name and postal / correspondence address.
- The fact that you own, or are connected to, a property that may be suitable for our services, and information about that property.
- Any contact details and correspondence you share with us.
Clients, guests and enquirers
- Contact details (name, email, phone, address).
- Booking and property information.
- Payment information, processed securely by our payment providers; we do not store full card details.
- Records of our correspondence and of the services we provide.
Website visitors
- Technical data such as IP address, device and browser type, and how you use our site, collected through cookies and similar technologies (see section 6).
3. Where we get your data
- Directly from you, when you enquire, contact us, become a client or guest, or use our website.
- From publicly available sources, to identify property owners who may benefit from our services, we use publicly available information from HM Land Registry title registers, Companies House, and public property-listing websites.
- Automatically, through cookies and similar technologies when you use our website.
4. How and why we use your data, and our lawful basis

Where we rely on legitimate interests, we have carried out a balancing assessment to make sure our interests do not override your rights and freedoms. You can ask us for a summary of it.
5. Marketing and your right to object
We send marketing about our property management service to owners by post only, on the basis of our legitimate interests. You can object at any time, and we will stop permanently.

6. Cookies
Our website uses cookies and similar technologies. Essential cookies are needed for the site to work, for example to process secure payments at checkout. We do not currently use analytics or advertising cookies. If we introduce non-essential cookies in future, we will ask for your consent through a cookie banner first. You can control cookies through your browser settings.
7. Who we share your data with
We share data only with:
- Service providers who help us operate, for example IT and hosting, CRM, mailing and print, and payment processing, under contracts that require them to protect your data and use it only as we instruct; and
- Professional advisers, and authorities or other third parties, where we are required to by law or need to in order to establish or defend legal claims.
We do not sell your personal data.
8. International transfers
Some of our service providers are based outside the UK. Where we transfer personal data internationally, we make sure it is protected by an appropriate safeguard, such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum. You can ask us for more detail.
9. How long we keep your data
- Prospective clients, if you do not become a client, we delete your data within 12 months.
- Clients and guests, for the life of our relationship, plus any period required by law (for example, tax and accounting records are generally kept for 6 years).
- We keep personal data only as long as we need it for the purposes set out above or to meet our legal obligations.
10. How we protect your data
We use appropriate technical and organisational measures to keep personal data secure and to protect it against unauthorised access, loss or misuse.
11. Your rights
Under UK data protection law you have the right to:
- access a copy of your data;
- have inaccurate data corrected;
- have your data deleted;
- restrict or object to how we use it, including objecting to marketing at any time;
- data portability; and
- withdraw consent where we rely on it.
To exercise any of these, contact us using the details in section 1. We will respond within the time limits set by law, and in most cases there is no charge.
12. Automated decision-making
We do not make decisions that produce legal or similarly significant effects about you based solely on automated processing.
13. Children
Our services and website are not directed at children, and we do not knowingly collect children's data.
14. Complaints
If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, or 0303 123 1113.
